Subcontractor Onboarding

How INTUMEX LTD uses and protects personal information supplied through the starter form and Worker Profiles system.

01

Who controls the information

INTUMEX LTD is the controller for information used to onboard, manage and allocate subcontractors. Privacy enquiries can be sent to info@intumex.co.uk.

02

Information collected

Identity and contact details, tax and payment details, Right to Work information, trade and availability information, emergency contact details, qualifications, certificates and uploaded identity documents.

03

Why it is used

Subcontractor onboarding and administration, identity and Right to Work checks, CIS and payment administration, site compliance, project allocation, health and safety, record keeping and the establishment or defence of legal claims.

04

Contractor access

INTUMEX may create a time-limited secure profile for a contractor that needs evidence for site access or compliance. Only selected verified information is included. Bank details, NI number, UTR, home address and personal contact details are not included. Date of birth, ID and detailed Right to Work information require separate permissions for the specific link.

05

Storage and retention

Records are held in access-controlled business systems and private document storage. Access links expire automatically and can be revoked. Records are retained only for as long as required for active subcontractor management, legal, tax, insurance, compliance and dispute-resolution obligations, then securely deleted or anonymised under the INTUMEX retention schedule.

06

Your rights

Depending on the circumstances, you may ask for access, correction, deletion, restriction or objection, and may raise a concern with the UK Information Commissioner’s Office. Some information must still be retained where INTUMEX has a legal obligation or overriding legitimate reason.
